How We’re Using AI and CRM to Make Webinars Easier and More Effective

Hi guys, today I wanted to walk you through a few things we’ve been building inside EasyWebinar because a lot of people have been asking about it lately. If you don’t know me, I’m Casey Zeman, co-founder of EasyWebinar and author of The Sales Experience. For the last decade, I’ve been focused on helping businesses use webinars to scale their sales and marketing in a way that still feels human.

One thing we’ve learned over the years is that webinars are incredibly powerful when they’re done well. They allow you to teach, build trust, and sell in a way that feels natural instead of pushy. But we also know there are a few big friction points that slow people down when they try to run webinars.

Two of the biggest ones are how long it takes to create a webinar and how hard it can be to get people to actually show up.

So a lot of what we’ve been building recently inside EasyWebinar is designed to solve those exact problems.

Let me show you what I mean.

Building a webinar in minutes with AI

One of the features people have been really excited about is the AI Builder we recently added to EasyWebinar.

The goal with this feature was simple. We wanted to remove the time barrier that stops so many people from launching their first webinar. Traditionally, setting up a webinar meant writing emails, building landing pages, creating reminders, designing polls, and figuring out the presentation structure. That process could easily take days or even weeks. The AI Builder changes that.

With this tool, you can generate an entire webinar structure in about five minutes. It can create the landing page, the registration flow, the email reminders, polls inside the presentation, and the basic framework for the workshop itself. By the time it finishes, you’ll have a working webinar funnel ready to go.

For most people, that’s the difference between thinking about doing a webinar someday and actually launching one.

But while that solves the setup problem, there’s another issue we’ve been watching closely. Show-up rates.

Why webinar show-up rates have dropped

Across the industry, webinar attendance has become more unpredictable. People register with good intentions, but life gets busy. Calendars get full. Emails get missed. Suddenly, someone who really wanted to attend your workshop never actually makes it to the room.

Inside EasyWebinar, we’ve historically seen better show-up rates than average because we’ve spent a lot of time improving deliverability and reminders. Things like email reminders, notifications, and integrations like WhatsApp groups on the thank-you page help bring people back when the event actually starts.

But we wanted to go a step further. That’s where the EasyCRM system comes in.

Why we built EasyCRM

EasyCRM is something we built directly inside EasyWebinar because we realized that webinars aren’t just about presentations. They’re about relationships and follow-up.

When someone registers for your webinar, that’s a lead. But what happens after that moment determines whether the webinar actually turns into revenue.

EasyCRM is designed to help manage that entire process. Every lead that registers can automatically flow into the CRM. Even if you’re already using another system like HubSpot or GoHighLevel, the EasyCRM layer allows you to track interactions, manage contacts, and keep everything organized in one place.

But one feature people have been especially excited about is the auto dialer.

Using the Auto Dialer to increase webinar attendance

One of the simplest ways to increase webinar attendance is also one of the most overlooked. A phone call.

Inside EasyCRM, every lead that registers can be added to a calling list. You can have a virtual assistant call registrants before the workshop starts just to remind them about the event and encourage them to attend.

It might sound simple, but it works incredibly well. A quick call that says something like-“Hey, just wanted to remind you about the workshop you registered for. When you show up, we’re also giving away a bonus resource.”

That small touch dramatically improves show-up rates because now the webinar feels personal instead of automated.

The auto dialer will go through your list and dial contacts automatically. A team member or VA can handle the calls, take notes, and tag conversations directly inside the system. And every call is recorded and saved.

That means you can review them later, train your team more effectively, and even transcribe the conversations so you understand what people are asking or struggling with. For sales teams, this is incredibly valuable because now every conversation becomes a learning opportunity.

Connecting webinar engagement with sales conversations

Another powerful part of this system is that the CRM connects directly with webinar data.

That means when someone books a call or speaks with your team, you already know things like:

  • Whether they attended the webinar
  • How long did they stay
  • What actions did they take during the presentation

That context helps sales conversations become much more relevant. Instead of starting cold, your team can begin with a clear understanding of where that person already is in their journey.

The system also includes a built-in calendar and scheduling tool, so booking calls becomes seamless. When someone schedules a call, the platform automatically reminds both sides and even connects the call when it’s time to start. Everything is recorded and logged automatically, which removes a lot of the manual work sales teams normally deal with.

The goal behind all of this

At the end of the day, the goal with EasyWebinar isn’t just to help people host webinars.

It’s to help them build a system that actually generates revenue consistently.

The AI Builder helps you launch faster.
The reminder systems help more people show up.
The CRM helps you follow up and close deals more effectively.

When all those pieces work together, webinars become far more powerful than just a one-time presentation. They become a repeatable sales engine.
